This webinar project is designed to convert strangers into valuable clients through an engaging, structured presentation. Promoted via social media and email marketing, it will take place on Tuesdays between 9 am and 11 am. Pre-webinar promotions will include Microsoft promotions and showcasing x offers to generate interest.
The webinar’s goal is to provide valuable takeaways for the target audience by addressing their pain points.
The content will be divided into three key sections:
1. Setting the Stage (5 minutes): Introduce the topic and create context.
2. Topic Content (30 minutes): Deliver insightful and practical solutions.
3. Call-to-Action and Q&A (10 minutes): Wrap up with actionable next steps and a Q&A session.
The webinar’s opening hook will be designed to grab attention, using a compelling story, surprising fact, or bold statement. The content will be broken down into digestible segments, with “wow” moments to keep the audience engaged. Interactive elements such as polls and Q&A will encourage audience participation.
Planning and Scheduling
The first step is to plan the webinar topic, consult with Subject Matter Experts (SMEs), and review the plan with your team lead. Once the topic is finalized, you can schedule the webinar and build out the registration page on Teams Webinar. This page will be accessible from the right side top on Teams Calendar.
Event Promotion and Registration
Next, send an event placeholder from name[dot]com to ensure everyone in the company marks their calendars. Add the event to the x website's Events Page and the Intranet - the Lounge. Update the homepage banner to promote the webinar.
Social Media and Email Campaigns
Create the first social share graphics on Canva, perform copy and content Quality Assurance (QA), and schedule the post on HubSpot. Build the draft copy for the first pre-webinar email reminder, perform copy and content QA, and schedule it on HubSpot.
Continued Promotion and Reminders
Continue with the second and third pre-webinar email reminders, ensuring each goes through copy and content QA before scheduling on HubSpot. Write a pre-webinar blog post using the copy from the registration page.
Final Preparations
Update the sales team with the list of registrants one week before the event. Prepare the PDF of handouts, including resources and giveaways. Update the registrants/attendees list on HubSpot.
Day of the Webinar
On the day before the webinar, share the fifth social media post. Update the sales team with the final list of registrants. Ensure everything is ready for the webinar.
Post-Webinar Activities
After the webinar, send the first thank-you email with a certificate or handout. Conduct a post-webinar survey to gather feedback. Watch the webinar video to extract key learnings, takeaways, and quotes. Create a webinar blog recap and replace the pre-webinar blog post with this new content.
Continued Engagement
Create video snippets for social media, including YouTube, YouTube Shorts, Instagram Reels, and LinkedIn. Share promotional tweets with quotes from the webinar. Send follow-up emails covering what was discussed in the session, introducing your services, and informing about upcoming events. Finally, send a giveaway email to the winner, which occurs every three months.
The closing will create urgency by offering time-limited deals or exclusive bonuses, motivating attendees to act immediately. Clear next steps will be communicated to guide them through the process.
A follow-up strategy will ensure continued engagement, with personalized emails containing additional resources. The webinar will be hosted on Microsoft Teams, scheduled for the second-to-last Thursday of each month. The format will include live demonstrations, showcases, discussions, and real-world case studies to appeal to diverse audience preferences and ensure maximum value delivery. This structure aims to foster long-term client relationships and business growth.
